Privacy policy.
Who I am
This website (aglaia.org.uk) is run by Sayna, a self-employed makeup and hair artist trading as Aglaia, based in England. In this policy, “I”, “me” and “my” mean Sayna. I am responsible for the personal information described below.
You can contact me about anything in this policy at sayna@aglaia.org.uk.
What information I collect
Enquiries and bookings: your name, email address, phone number, event date and location, details of the service you want, and anything else you choose to tell me.
Client records: booking details, invoices and payment records. I do not store full card details.
Skin and allergy information: if you tell me about allergies, skin sensitivities or skin conditions so I can choose suitable products, I will only use this for that purpose and only with your clear consent.
Photos and videos: images of my work that may show you, but only where you have agreed.
Website visits: my website platform, Squarespace, collects technical information such as your IP address, browser, device type, the pages you visit and the site that referred you. See my Cookie Policy for more.
How I use your information and why I’m allowed to
To reply to your enquiry and send a quote, because you asked me to (steps before entering a contract).
To provide the services you book, manage your booking and take payment, because this is needed to carry out our contract.
To keep financial records, because the law requires it.
To use any allergy or skin information, based on your explicit consent.
To show photos or videos of my work in my portfolio, on this website and on my social media, based on your consent. You can withdraw consent at any time and I will remove the images from my website and the social media accounts I control. I cannot recall copies that others have already shared or published.
To run my website, keep it secure and understand how it’s used, based on my legitimate interests and, for non-essential cookies, your consent.
Professional shoots
When I work on a photo or video shoot for a photographer, production company, brand or publication, the images usually belong to them, and they are responsible for how they use them. I only show that work in my portfolio where I have permission.
Marketing
I do not send marketing emails or newsletters, and I never sell your information. If that changes, I will ask for your permission first.
Who I share your information with
I only share what is needed with:
Squarespace, which hosts this website and processes contact form submissions
my email provider
my bank and any payment provider I use
my accountant
other suppliers for your event, such as a photographer, wedding coordinator or venue, but only where needed for your booking and with your knowledge
authorities, where the law requires it
Information stored outside the UK
Some of my service providers, including Squarespace, may store information outside the UK. Where this happens, it is protected by the safeguards UK data protection law requires.
How long I keep your information
Enquiries that don’t lead to a booking: up to 12 months.
Client and payment records: 6 years after your booking, for tax and accounting purposes.
Allergy and skin information: deleted after your booking, unless you ask me to keep it for future bookings.
Portfolio images: until you withdraw consent or I stop using them.
Keeping your information secure
I use password-protected devices and accounts, and two-factor authentication where available.
Children
This website is not aimed at children. Where I provide services for anyone under 18, for example bridesmaids or prom bookings, I deal with a parent or guardian.
Your rights
You have the right to:
ask for a copy of the information I hold about you
ask me to correct anything that is wrong
ask me to delete your information
ask me to restrict or stop using your information
object to how I use your information
ask for your information in a portable format
withdraw consent at any time, where I rely on it
To use any of these rights, email sayna@aglaia.org.uk. There is normally no charge, and I will reply within one month. I may need to confirm your identity first.
Complaints
If you are unhappy with how I have handled your information, please contact me first at sayna@aglaia.org.uk. I will acknowledge your complaint within 30 days and look into it without undue delay.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
Changes to this policy
I may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
